The Atlanta Speech School is currently seeking a full-time Internship Coordinator/Administrative Assistant.

Position Summary:

Provide administrative support to the Director of Stepping Stones and the Chief Academic Officer. Duties include extensive administrative and project based work.

Internship Coordinator Duties and Responsibilities:

  • Work alongside program directors to identify and promote internships for specific majors
  • Develop and revise internship policies, procedures, and manual
  • Facilitate student learning by assisting students to secure appropriate internships to enhance overall academic experiences and learn skills to conduct a successful job search
  • Initiate, build, and maintain partnerships with universities to develop student opportunities
  • Respond to telephone calls and emails from potential interns and university coordinators
  • Coordinate placement of interns into specific school programs
  • Manage inquires and schedules for student observations
  • Maintain database for purposes of tracking applications and background check forms
  • Collaborate with the onsite Office of Research and Innovation regarding establishment and maintenance of university/college affiliation agreements
  • Interview potential interns and analyze appropriate program placement
  • Collaborate with program directors to identify potential internship supervisors
  • Manage any potential concerns regarding intern performance
  • Organize schedule for interns, particularly those working in more than one program
  • Send, collect, and analyze internship supervisor feedback questionnaires
  • Facilitate onboarding process (including background checks) for incoming interns
  • Provide optimal marketing strategies to create partnerships with universities/colleges and to increase internship opportunities.  
  • Ensure that the School’s philosophy, mission and vision are practiced throughout the organization

 

Stepping Stones Administrative Assistant Duties and Responsibilities:

  • Compile information and maintain student records, logs of screenings, inquires, waitlist, accepted and not accepted applicants
  • Knowledge of and the ability to relay information about the Stepping Stones preschool
  • Prepare enrollment and re-enrollment agreements for current and new students
  • Mail and collect registration materials for all students in the department
  • Create class list for each teacher after director assigns students to appropriate class
  • Enter class lists in database and update contact information as needed
  • Provide student reports to department director, teachers, and co workers
  • Manage purchases, generate, and maintain financial tracking records
  • Prepare memos, letters, and other documents using Word and Excel
  • Open, sort, and distribute incoming correspondence
  • Data entry (Admissions, Registrar, and Student Parent Mailing)
  • Direct contact for parents interested in the program
  • Prepare responses for correspondences containing routine inquires
  • Field telephone calls, receive, and direct visitors
  • Fundamental formatting/editing of reports and intake forms for routing and proper dispensation
  • Assist with other duties as needed
  • Perform basic liaison tasks with clients, staff, parents, or other programs: explain policies/procedures, answer various questions, coordinate services and assistance

 

Skills/Qualifications:

  • At least 3 years of experience working in college or school admissions office preferred
  • Administrative assistant or office manager experience
  • Excellent writing, editing, and verbal communication skills
  • Strong strategic, analytical, problem solving, and organizational skills
  • Ability to foster and manage productive relationships with a wide range of people across multiple college/university settings
  • Extreme attention to detail with superior organizational skills, thoroughness, and accuracy
  • Capacity to manage multiple projects at a time
  • Strong time and deadline management skills
  • Has a passion for undergraduate and graduate level students to help create a positive, unique, and effective internship experience
  • Demonstrate ability to work proficiently in various software applications, including MS Word and Excel
  • Database and spreadsheet experience required
  • Experience with or willingness to learn industry-specific software (RenWeb)
  • Knowledge of Bright from The Start policies and accreditation preferred
  • Analytical and detail oriented with a proven record for producing quality work within timelines
  • Exercise independent judgment, decision making abilities, and a high level of confidentiality
  • Bachelor’s Degree required

  • Proficiency in MS Word, Excel, Outlook, PowerPoint and Ren Web

 

 

Compensation and Benefits:

Salary is commensurate with experience.

 

This is a full-time school position, offering a generous benefit package including health/dental/life/vision and long term disability insurance.
